Octavian is seeking an experienced Paralegal / PA to support our Legal and Executive teams. This is a dual-role position ideal for someone who is highly organised, proactive, and confident working across both legal administration and executive support.

You will play a key role in ensuring our legal documentation, compliance, and internal governance run smoothly while also providing high-level PA support to senior leadership.

Key Responsibilities:

Paralegal Responsibilities

  • Drafting, reviewing, and managing legal documents and contracts
  • Supporting commercial law matters and corporate governance tasks
  • Preparing and submitting filling to Companies House
  • Assisting with internal audits and maintaining ISO compliance documentation (ISO 9001, ISO 45001, ISO 14001)
  • Maintaining case files, registers and legal archives
  • Conducting legal research and supporting internal legal queries
  • Managing compliance calendars and ensuring deadlines are met

PA Responsibilities

  • Providing executive-level administrative support
  • Diary and email management, scheduling meetings and appointments
  • Preparing agendas, taking meeting minutes, and producing action logs
  • Coordinating Board Meeting documentation and follow-ups
  • Supporting internal events, bookings, and travel arrangements
  • Managing confidential information with professionalism and discretion

Key Skills & Experience Required

  • 3 to 5 years of experience in a corporate legal support role
  • Solid understanding of commercial law and corporate compliance
  • Proven experience with Companies House filings and legal administration
  • Familiarity with ISO standards, document control, and internal audit processes
  • Previous experience as a PA or Executive Assistant in a professional environment
  • Strong organisational, prioritisation, and multitasking skills
  • Excellent written and verbal communication
  • High attention to details and accuracy
  • Proficiency with MS Office Suite (Word, Excel, Outlook, SharePoint)
