Octavian is seeking an experienced Paralegal / PA to support our Legal and Executive teams. This is a dual-role position ideal for someone who is highly organised, proactive, and confident working across both legal administration and executive support.
You will play a key role in ensuring our legal documentation, compliance, and internal governance run smoothly while also providing high-level PA support to senior leadership.
Key Responsibilities:
Paralegal Responsibilities
- Drafting, reviewing, and managing legal documents and contracts
- Supporting commercial law matters and corporate governance tasks
- Preparing and submitting filling to Companies House
- Assisting with internal audits and maintaining ISO compliance documentation (ISO 9001, ISO 45001, ISO 14001)
- Maintaining case files, registers and legal archives
- Conducting legal research and supporting internal legal queries
- Managing compliance calendars and ensuring deadlines are met
PA Responsibilities
- Providing executive-level administrative support
- Diary and email management, scheduling meetings and appointments
- Preparing agendas, taking meeting minutes, and producing action logs
- Coordinating Board Meeting documentation and follow-ups
- Supporting internal events, bookings, and travel arrangements
- Managing confidential information with professionalism and discretion
Key Skills & Experience Required
- 3 to 5 years of experience in a corporate legal support role
- Solid understanding of commercial law and corporate compliance
- Proven experience with Companies House filings and legal administration
- Familiarity with ISO standards, document control, and internal audit processes
- Previous experience as a PA or Executive Assistant in a professional environment
- Strong organisational, prioritisation, and multitasking skills
- Excellent written and verbal communication
- High attention to details and accuracy
- Proficiency with MS Office Suite (Word, Excel, Outlook, SharePoint)
